Avoid quoting only a generic “management fee.” Break out high-value workstreams when relevant: discovery, roadmap creation, stakeholder alignment, delivery governance, and technical due diligence may each require different effort levels.
Use a fixed fee when the scope, deliverables, and client inputs are well defined, such as a two-week product assessment or roadmap workshop. Use a day rate or monthly retainer when priorities may change, especially for embedded leadership, team coaching, or delivery oversight.
List outputs the client can review and use: a prioritized roadmap, product strategy, delivery plan, KPI dashboard specification, technical risk assessment, or operating-model recommendations. Do not promise outcomes that depend on the client’s engineering capacity, budget, or internal decision speed.
State the number of workshops, stakeholder interviews, reporting meetings, and review cycles included in the fee. Specify that new product areas, additional teams, vendor selection, hands-on development, or major roadmap changes require a written change request.
Include ordinary remote working costs in your fee. For travel, in-person workshops, specialist software, or third-party research, state whether costs are included or billed separately with prior client approval.
